Asset library
Records, then Asset library. Every file your shop holds: customer logos, vectors, proofs, mockups, product shots.

What it is for
A print shop accumulates files. The library gives them one home, deduplicated and tagged, so the answer to "do we still have the club's vector" is a search rather than a hunt through a designer's downloads folder.
Assets arrive through the Upload action on the list. Files are deduplicated on ingest, so uploading the same logo twice does not give you two copies.
Where assets are used
| Used by | How |
|---|---|
| Artwork versions | A proof is an asset, linked to the version |
| Designs | Customer designs reference assets |
| Product and store imagery | Storefront tiles and portal catalogue images |
| Approval pages | The proof preview is served through a signed link |
Access and privacy
Files never leave the private storage except through streams that assert who is asking:
| Requester | Can fetch |
|---|---|
| Staff | Assets belonging to your workspace |
| A portal customer | Their own organisation's assets, plus your product and store imagery. Everything else 404s |
| Anyone with a signed link | Only the specific asset that link was signed for, until it expires |
Approval pages and storefront tiles use those signed links, which is how a customer with no login sees their real proof without the file being public.
Deleting
Deleting an asset here removes the file from disk. If it is referenced by an artwork version or a design, remove the reference first, or you will be looking at a broken preview later.
Housekeeping
- Tag customer logos with the customer name. Search is only as good as your tags.
- Keep the source vector, not just the exported PNG. A reorder at a different size needs the vector.
- Clear out one-off mockups periodically. Proofs and source art are worth keeping; forty renders of the same tee are not.
