4. Price lists

Pricing, then Price lists. A price list is a named rate that customers sit on. It is how you give a football club a club rate, a reseller a wholesale rate, and a walk-in the list price, without maintaining three spreadsheets.

Price lists

The fields

FieldMeaning
NameWhat staff see, for example "Retail", "Club rate", "Wholesale"
CodeA short identifier, for example club or wholesale
DiscountA percentage shown off list prices in the portal, the shop and the cart for customers on this list
Default for new customersNew customers are put on this list automatically

The Customers column on the list shows how many organisations are on each, which is the quickest way to spot a list nobody uses.

An important distinction

This is the one thing on this page that catches people out.

What it affects
The discount percent on the price listThe prices customers see in the portal, shop and cart
A customer discount pricing rule scoped to the price listThe prices the engine calculates on a quote

They are two different mechanisms, and a shop that wants both needs both. The field's own help text says so: for quote pricing, add a customer discount rule scoped to this price list.

So the normal setup for a club rate is:

  1. Create the price list Club rate with a discount of, say, 12%.
  2. Create a customer discount rule with Applies to: A price list, pointed at Club rate, with 12%.
  3. Put the club's organisation on the Club rate list.

Now the club sees 12% off in the portal, and a quote your sales person builds for them also comes out 12% off. If you only do step 1, your quotes will come out at full list and someone will notice at the wrong moment.

A sensible starting set

Most shops need three:

ListDiscountWho is on it
Retail0%Walk-ins, one-off consumers. Mark this default for new customers
Club10 to 15%Sports clubs, schools, community groups
Wholesale20 to 30%Resellers, uniform companies, agencies

Add lists for the deals you actually have, not the ones you might have. Every extra list is another thing to keep in step with a pricing rule.

Assigning a customer to a list

On the customer record: Records, then Customers, open the organisation and set its price list. Details in customers.

New customers land on whichever list is marked default, so make sure that is your retail list and not your wholesale one.
